CAEA TIMELINE

JANUARY

·       President’s report to Pacific Region Vice President January 8th

·       All council members and executive board members complete awards nomination packets and turn in to awards chair by       February 15th

·       Student teaching scholarship applications due to the President by Jan.15th

·       President confirms fall conference dates, provides tax information to venue, and makes deposit with Beaver Run 

     Conference Center

·       Check Adobe Online Subscription

·       Approve and Pay for Youth Art Month Flag

·       Deposit made to Beaver Run for Fall Conference- May be made in previous fall

·       Book travel for NAEA convention in March. 

·       www.caeaco.org domain renewal

·       YAM chair discusses activities for the state for march youth art month and confirms show details

·       YAM chair sends invitations out for March show

FEBRUARY

·       Executive Council meeting

·       Representative Council meeting (New representatives and outgoing representatives attend.)

·       Newly elected members orientation will meet the Friday before the Representative Council Meeting.

·       Spring Collage deadline – February 1st, President’s Message due to Collage Editor.

·       Winter Collage published

·       Midwinter conference organized by rep and president.

·       Checks made out to Midwinter Conference artists

·       President-elect begins soliciting master class artists for fall conference (10)

·       Payments to Collage Editor, Copy Editor, and Layout Design

·       All council members and executive board members complete awards nomination packets and turn in to awards chair by       February 15th

·       Treasurer renews CAEA insurance policy

·       Book Beaver Run for Summer Retreat

MARCH

·       Fall Conference workshop proposals open

·       President’s report to Pacific Region Vice President March 21st

·       CAEA representative council members and executive council members solicit presentation/workshops from other CAEA         members, colleagues, artists in community, etc.

·       President attends NAEA convention with president-elect as Colorado voting delegate.

·       YAM representative attends NAEA convention, hangs YAM flag, attends NAEA YAM events

·       Treasurer files non-profit status with Colorado Secretary of State. "Charitable Organizations" report and the info comes           directly off of the year-end Quicken report

APRIL

·       Executive Council meeting

·       Representative council meeting- Sign up for conference committees & vote on CAEA awards

·       Payments to Collage Editor, Copy Editor, and Layout Design

·       NAEA Conference scholarship payment- as reimbursement for NAEA expenses up to $1000.00

·       Spring Collage published

·       Hospitality chair solicits donations for conference swag

·       Awards chair notifies award nominees of results

MAY

•   Art Source summer orientation meeting

•   President’s report to Pacific Region Vice President May 11th

•   President -Conference presenters notified and given dates/times/room assignments

•   President works with conference committee task force chairs as needed

•   Awards chair notifies winners of what is needed for awards luncheon

•   Renew non-profit status- can only be done after taxes are completed, and is due in May

•   Pay accountant for taxes

•   Secretary of State filing

•   Book travel and lodging for National Summer Leadership Conference in Late July

•   NAHS Leadership Day vendor registration opens

JUNE

·       President works with conference committee task force chairs as needed

·       Pre-registration begins online for fall conference

·       Deadline for fall conference workshop proposals- Executive council completes fall conference schedule

·       Executive Council retreat

JULY

·       President’s report to Pacific Region Vice President July 11th

·       President works with conference committee task force chairs as needed

·       President-Elect- Master classes scheduled and master artist receive contracts

·       Pacific Regional Leadership Meeting – CAEA President attends

·       Place fall conference information and schedule online

·       Pre-registration begins online for fall conference

·       Fall conference program book completed and placed online

·       Payments to Collage Editor, Copy Editor, and Layout Design

·       Awards chair order awards plaques

AUGUST

·       Fall Collage deadline – August 1st, President’s Message due to Collage Editor

·       Pre-registration continues on line for fall conference

·       President works with conference committee task force chairs as needed

·       Registration for NAHS Leadership Day opens

·      Press releases for awards sent out to media outlets

SEPTEMBER

·       Representative Council meeting

·       Pre-registration continues on line for fall conference

·       President works with conference committee task force chairs as needed

·       Conference book task force chair complete conference book and take to printers

·       Nominate member and/or members for an open CAEA representative council or executive board position – provide all           contact information – make sure you, as the nominator have notified the person and he/she is willing to run

OCTOBER

·       Pre-registration continues on line for fall conference- ends two weeks prior to conference

·       Registrar prints conference participant badges

·       President-Elect submits ballot and bios to President for electronic election

·       President-Elect creates Google Drive Election form and sends to membership before conference 

·       President-Elect ensure that all members who have been nominated for an elected position have submitted all the proper
     documents including biography and heads shot

·       Fall Collage published

·       NAHS Leadership Day

·       NAEA Award Nominations Due October 1st, submitted to NAEA

·       President works with conference committee task force chairs as needed

·       Fall conference program book sent to printer

·       Verify Arapahoe Community College as Midwinter conference site- Angela Belt is current contact

·       Payments to Master Class Artists ready for conference.

·       Administrative stipends for fall conference

·       Keynote stipends ready for fall conference

·       Awards program books

NOVEMBER

·       President’s report to Pacific Region Vice President November 23rd

·       CAEA Elections will run the week of Conference. Election results will be tallied and announced at the Conference Wrap-Up

      meeting. 2020 will be Divisional for the 2021-2023 term; 2021 will be Regional and Executive for the 2022-2024 term

·       Board ratifies election slate presented by president-elect

·       Payments to Collage Editor, Copy Editor, and Layout Design

·       YAM flag competition physical works due at conference by 4:00, teachers take home ALL physical work Saturday                       afternoon

·       Executive Council judges YAM submissions at conference Friday 4:30 (overall flag winner, HS level winner, MS level winner,
     ELEM level winner, 10 additional works for NAEA), YAM coordinator photographs ALL works and supports jurors, notates       winners

·       President-elect contact nominees and get bios for the ballot

·       President-elect works to gain nominees for all open positions with help from executive board and representative council       members

·       YAM: Request State Capitol Site, request gubernatorial proclamation, find out new YAM theme from CFAE, update flag             competition details, update all website information

·       Pay for yearly Breckenridge Storage contract

·       Book lodging and registration for NAEA convention in March

DECEMBER

·       Executive board meeting

·       YAM Coordinator: Order flag, print/mat artworks for March show and NAEA, submit article about winners to Collage

·       Winter Collage deadline – December 1st, President’s Message due to Collage Editor

·       Colorado scholastic art and writing awards entry deadline

·       NAEA position statement review by President

·       Midwinter Conference artists organized

·       Renew Wild Apricot contract

·       Youth Art Month Flag design winner- sent to Custom Flag Company. High Resolution Art Work sent and approved

·       Review and Pay Fall Conference Bill

·       Payment of Scholarship to the Colorado Art Educator of the Year to attend NAEA

·       Review Fall Conference contract for next year
